Welcome to the Center at 10 Elm, the new Community Center for the Town of Boxford. We hope the Center will be the perfect venue for your next event, function or activity. Fully accessible, it can accommodate up to 100 guests and has 2 distinct spaces available.
The "Barn" is a dynamic 2,400 sf space perfect for larger gatherings: celebrations, annual meetings, lectures and classes. The Barn is equipped with a state-of-the-art AV set-up, with a large drop screen and sound system. This flex space can also be divided for smaller groups. Both spaces open onto the outdoor patio.
The Cummings House Lounge is an intimate setting for small meetings. It is equipped with a pool/conference table, television, wet bar, and electric fireplace. It's the perfect venue to host discussion groups, support groups, book and hobby clubs.
We hope that this beautifully restored building will serve the needs of our residents, business and civic groups for years to come. Frequently Asked Questions
How do I schedule an event?
Rental requests applications and room availability is available online at the Town of Boxford website.
How will I access the building?
If your event is approved, you will need to pick up a key card from COA staff at the 10 Elm, Monday through Thursday, 8:30 – 4:30 p.m. Key cards should be returned within a week after your event and dropped off during the same business hours.
May I heat/serve food?
To serve prepared food, you must obtain a Temporary Food Permit from the Board of Health. A licensed caterer must be hired for full use of the 10 Elm kitchen. Please contact the Town Health Agent at 978-887-6000 x 507 for all forms and procedures.
May I serve liquor?
To serve liquor, you must obtain a liquor distribution permit from the Board of Selectmen and Police Chief. Liquor distribution permit applications are obtained from the Office of the Board of Selectmen. Please be aware that these liquor distribution permits require you (or your caterer or contract bartender) to provide the town with special liquor liability insurance. Plan early as the liquor distribution permit process takes several weeks to complete.
May I arrive early/leave late?
We schedule according to the block of time assigned to your rental. There may be another group immediately before or after you. Please schedule your rental to include sufficient time to set-up before and clean-up after your event.
May I store items for use next time?
We do not have any option for on-site storage of items.
How does the cleaning fee work?
For any private Tier 4 rental that includes food and drink (and at the Town’s discretion for any other event), you will be asked to provide the Town with a $200 cleaning fee, in addition to your rental fee. For all other events there are brooms, mops and cleaning supplies in the closet in the kitchen.
The Center at 10 Elm Rental Agreement
The applicant requests to rent The Center at 10 Elm, 10 Elm Street, Boxford, under the following conditions;
Rental is made to an individual over the age of 25.
Attendance will be limited to the licensed capacity of the room requested and approved. No alcohol on premises without valid liquor distribution permit.
No food may be served without a valid food service permit. Full use of kitchen is dependent on hiring of a licensed caterer and Board of Health approval.
Events must be finished by 10:00 p.m. There are many residents close by so we ask that you be considerate about noise levels. If your event includes music, keep the volume moderate and keep the doors and windows shut.
Return chairs and tables to pre-event set-up. Any extra chairs that were in use for event should be stacked on dollies and returned to the supply closet. Please note, armless chairs need to remain or be returned to the room for the next day’s activities.
If full use of the barn is rented, the dividing wall will need to be opened and then replaced to its closed position following the event. Please coordinate training with staff prior to rental.
Please be aware that there may not be staff available to assist with audiovisual equipment during a meeting or event so you should request to receive training from staff prior to the rental.
No smoking, open flames, candles, sparklers or smoke machines.
No games or activities that could damage the Center. The Center at 10 Elm is a meeting/event venue not a gymnasium.
No damaging adhesives, push pins, tacks or nails to attach decorations or signs on the walls and ceilings. If you wish to have decorations, please use specialty adhesive strips that do not damage surfaces. Remove the decorations and the adhesive strip’s remnants when your event is over.
Renter is responsible to clean up the Center after use. Sweep and/or mop as needed in the lobby, restrooms, kitchen, and event rooms. Cleaning supplies can be found in the closet in kitchen. Should custodial services be required, a reasonable fee will be assessed to the user.
All trash needs to be removed from the site and placed in the trash cans provided.
Depending upon the nature of the reservation, individuals or groups may be required to provide the following documentation at least 10 business days prior to the date of the reservation: A certificate of insurance naming the Town of Boxford as an additionally insured for $1,000,000; U.S. Internal Revenue Code 501c3 documentation; Proof of residency
Waiver (to be signed off online as part of the rental process):
The undersigned has read the attached regulations governing the use of the Center at 10 Elm and has agreed to comply with them and to assume full responsibility for any damage or loss to the Town as a result of use and/or misuse of the Center at 10 Elm by the renter or their invitees and agrees to reimburse the Town for said loss. The undersigned further assumes personal responsibility for any and all liability to any person(s) arising out of the use of the Center at 10 Elm and agrees to hold the Town of Boxford and their agents harmless from, and indemnify them against, any and all claims, demands, liability and damages resulting from the use of the Center at 10 Elm by anyone at the event held therein.
